The Billing Specialist task is to ensure timely, reliable, and accurate reconciliation between a company and its customers. This generally includes oversight and coordination of the payments from the customers while also considering the feedback of other departments. Must be able to maintain effective communication with customers at all times and its internal stakeholders. Problem-solving skills are important in this position, and they should also have strong communication skills to serve as a valuable point of contact between an organization and its customers. Strong organizational and analytical skills are also beneficial for interpreting and elaborating on reports. They will interact with customers mostly via e-mail and phone, and occasional meetings with customers' representatives for account resolutions.

 DUTIES & RESPONSIBILITIES: (not listed in any particular order)

Ensure that customer product/tool requirement has correct part numbers as per JDE

Work with the A&I team with any inventory discrepancies related to proper billing of part numbers

Ensure that relevant job paperwork is prepared and handed over to field engineers for each job.

Manage creation of Job Package for both Billing and also QHSSE requirements.

Train field engineers/sales representative on document completion and specific customer requirements.

Scan Billing Job Package to Acorde. Create Billing Log and send to WSC for preparation of Draft Invoice (Billing Approval)

Receive Draft Billing Approval back from WSC and coordinate any required customer or product line approvals

Send Final Invoice Billing Log to WSC

For Local delivered invoices, receive Final Invoice from WSC, Create Invoice Package and coordinate Invoice Delivery and Receipt confirmation

Coordinate unbilled follow up to ensure approved paperwork is expedited for final invoice processing

Submit customer credit inquiries to the WSC

Request WSC to initiate customer set up for new customers

Assist WSC with dispute resolution

Act as point of contact to ensure that Customer requirements (Billing & Technical) are received by relevant Operational personnel 

Create draft JDE Delivery Ticket

Update Delivery Ticket post job with any additional job information (TBC)

that are no longer require

Complies with applicable company policies, including Personnel, Quality System and Health, Safety and Environment standards and procedures.

Work assignments carried out to the highest quality level

Perform various other duties and activities as assigned by manager within the physical constraints of the job.



Strong computer skills and experience

Process driven

Proficiency understanding of Tools and Equipment that routinely be used on a Job

Strong organizational and administration skills

3+ years in the field of Accounts receivable, Accounting or Finance

The physical ability to immediately respond to emergency situations.

Strong accounts receivable experience



Facilitator and problem-solving skills

High Analytical skills

Team player with strong verbal and written communication skills

Bachelor’s degree in Business Administration

Experience working with JD Edwards
